Organizations have been investing
heavily on solutions that would make it easier for them to provide
timely data to staff, customers, and business partners. The speed
and efficiency with which organizations manage data, meaning getting
them to people who have use for them on time, can mean significant
reduction in operating cost, improvement in staff performance, and
the expansion of more business opportunities. One of the most
popular IT solutions, which have been enjoying patronage of
organizations, is the Hummingbird DMS.
Many users are particularly pleased with Hummingbird’s Source Code
and Documentation Control (SCDC) system, a document management
method that supports an innovative process of controlling and
revising documents. Aside from this, the system also serves as an
online library where target users are afforded easy access to
read-only drafts and final document versions. Thus, the system
provides services two types of customers simultaneously: those who
are responsible for creating the documents from preliminary drafts
to final copies, and those who view and read the document contents. |

The online library can be accessed through two portals:
Hummingbird’s DM WebTop, which is linked to a Web site by the use of
a browser, and Hummingbird DM Extensions, a local workstation
application linked to a Hummingbird server via Distributed Component
Object Model (DCOM). Both these methods can be used to access the
library providing document creation, revisions, and final approval.
Another innovative feature of the Hummingbird, which many find an
improvement to existing data management processes, is Hummingbird’s
option for Workshare Professional 4. The option by using either Docs
Open or DM allows Hummingbird users and customers to compare
different versions of documents filed in the library repository,
review, and introduce changes in the documents. Users also find as
useful that Workshare maintains a file containing the history
documents and emails along with the documents filed in the
Hummingbird. In addition, Workshare identifies the original version
of the Hummingbird document when revisions are turned in through
SharePoint or e-mail.
This document management system from Hummingbird has also found a
niche among organizations, which need to integrate data and
information amassed through e-mails into their data management
systems. According to Ferris Research, 36% of organizations surveyed
consider e-mail archiving a major priority. The research identified
Hummingbird document management system as one of the most popular
programs used by these organizations to manage, archive, and dispose
of e-mail records.
With all the convenience provided by Hummingbird, such as strict
document version control, storage, and speed of access provided by
powerful search structure, not all really are happy with it. Some
users are unhappy with the restrictions, which make it difficult for
them to create their logical file families or groupings. Instead,
they are made to go through the interface, pass through many
dialogue boxes requiring many fields, fill out Meta data, and store
the files the best possible way they can within a predetermined
arrangement or structure.
The Hummingbird DMS, since it was established in 1984, has come a
long way in providing efficient data management services to various
organizations. Not all will go with it, but many have found its
services to more than adequately provide their need for timely
creation, dissemination, and accessing of data and information. Samples of using Compare Suite as a 3-rd party comparison tool
